Hello, I'm trying to set up email to scan and the web sever I'm trying to setup with (Outlook) requires Server Authentication. However, when I'm on the setup page the setting for Sever Authentication is stuck on "Server does not require authentication". It doesn't given me the option to enable it, so I was wondering if there is something else I need to do first? Or am I wrong about it needing authentication? The printer model is MFP 3301 and I'm setting it up on a mac.

To set up the Scan to Email feature for your HP Color LaserJet Pro MFP 3301-3304/3388 Printer Series using an Office 365 Outlook account, follow these detailed instructions to ensure the server authentication settings are properly configured:

 

Before You Begin

Ensure your printer has an active network connection. You will need:

  • Administrative access to the printer
  • SMTP server (e.g., smtp.office365.com)
  • SMTP server authentication requirements (such as the username and password)

Step-by-Step Configuration

Configure Network Identification Settings:

  • Access the Embedded Web Server (EWS) for your printer.
  • Click on Networking in the top navigation tabs.
  • Select TCP/IP Settings in the left navigation pane.
  • Verify that the DNS suffix for the email client being used is listed (e.g., companyname.com, gmail.com). If required, you can use the IP address.
  • Click Apply and then OK.

Set Up Scan to Email:

  • In the EWS top navigation tabs, click Scan/Digital Send.
  • In the left navigation pane, click Email Setup.
  • Ensure the Enable Scan to Email checkbox is selected.

Add the SMTP Server:

  • In the Outgoing Email Servers (SMTP) area, click Add to start the SMTP wizard.
  • Select I know my SMTP server address or host name and enter smtp.office365.com, then click Next.
  • Enter the port number 587.
  • Select the Enable SMTP SSL Protocol checkbox, and then click Next.

Configure Server Authentication:

  • On the Server Authentication Requirements dialog:
    • Select Server requires authentication.
    • From the drop-down list, select Always use these credentials.
    • Enter the username (your Office 365 Outlook email address) and password, then click Next.

Complete Setup Configuration:

  • Choose the printer functions that will send emails through this SMTP server, then click Next.
  • Enter a valid email address in the Send a test email to: field, and click Test.
  • Verify all settings are correct, then click Finish to complete the setup.
