Hey all,

 

I'm having an issue with a particular printer in our organization that is somehow forgetting or losing the designated SMTP service account password with no particular interval. I've seen it happen in three instances, one from a week ago and the other two within the past few days. My question is, where are these credentials stored (storage device, in memory)? It's a bit frustrating that I have to go into the admin interface to simply re-enter it in each instance for it to work. I'm not quite sure if this is due to unexpected power loss or whatever the case may be as I have not configured syslog as of yet, but may resort to it if the issue continues. I would also like to mention that the firmware is 100% up to date and the printer has been factory reset prior. Lastly, the scan to email test fails in the admin web interface, but works as expected on the printer's interface which is very odd.

If you are using G-Mail,

Did you already assign the required 2-step verification, create and assign the App Password?

 

If yes to G-Mail and No to the setup, continue...

Set up Scan to Email HP Printer with 2 Step Verification on Gmail and Google

 

Steps

Log into your Google Account

Open your Google Security Webpage

 

Next, if not done, Switch ON 2-step verification

Turn on 2-Step Verification

 

Next, Complete the steps to open your mail security settings

Sign in with App Passwords

and

Create / Select app and (then) create your app password

  • At the bottom, choose Select app and choose the app you using > Select device and choose the device you’re using > Generate.
  • Follow the instructions to enter the App Password. The App Password is the 16-character code in the yellow bar on your device.
  • Tap Done.

Tip: Most of the time, you’ll only have to enter an App Password once per app or device, so don’t worry about memorizing it.

 

Assign / set that new App Password in your Scan to Email profile as the password.

Save and Test

We are a Microsoft shop using an Azure AD environment. This is not an authentication issue, but rather the password being lost or forgotten by the MFC. MFA is not enabled or enforced for this service account and scan to email works when the device doesn't spontaneously lose the credentials and require for them to be re-entered for whatever apparent reason.

Sure - not the solution in that case.

 

You know to have checked all the connections - IF you have not done so, check the router logs to see if the router is aware of any odd issues with the printer connection.

 

I don't have other useful advice, unfortunately.
