Hi @rmurry65,
Welcome to the HP Support Community.
I'd be happy to help you!
I understand that you are having issues with the fax setup.
Setting up your HP OfficeJet 9012 All-in-One Printer to work with a VoIP service like Cox can sometimes be tricky, but it's definitely doable. Here are the steps to help you set up your fax machine:
Step-by-Step Setup Guide
Connect the Phone Line:
- Connect one end of the phone cord to the phone port on the Polycom device provided by Cox.
- Connect the other end to the port labeled "1-LINE" on the back of your HP OfficeJet 9012.
Configure Fax Settings on the Printer:
- On the printer's control panel, touch the Fax icon.
- Select Setup and then choose Fax Setup Wizard or Basic Fax Setup.
- Follow the on-screen instructions to configure the fax settings. Ensure to select the correct country/region.
Set the Fax Header:
- Enter your name and fax number when prompted during the setup. This information appears on the faxes you send.
Adjust the Fax Speed:
- Sometimes VoIP lines work better with a lower fax speed. Go to Fax Setup > Advanced Settings > Fax Speed and set it to Medium (14400 bps) or Slow (9600 bps).
Turn Off ECM (Error Correction Mode):
- Error Correction Mode can interfere with faxing over VoIP. Go to Fax Setup > Advanced Settings > ECM and turn it off.
Test the Fax:
- Send a test fax to a friend or a free fax testing service to ensure everything is set up correctly.
Kindly check the next steps in the next post.

Hi @rmurry65,
Please find the next steps below.
Additional Tips
- Dedicated Line: Ensure that the Polycom device is dedicated to the fax machine and not shared with other devices.
- Filters and Splitters: If you are using any phone line filters or splitters, try removing them, as they can sometimes cause issues with fax signals.
- VoIP Configuration: Contact Cox support to ensure that your VoIP line is configured to support fax services. Some VoIP services need specific settings or firmware updates to work reliably with fax machines.
Troubleshooting
- Fax Quality Issues: If you experience poor quality or failed faxes, try adjusting the fax speed again and ensure ECM is off.
- Check Connections: Make sure all connections are secure and there are no loose cables.
- Fax Line Test: Perform a fax line test from your printer's control panel to diagnose any line issues.
If you continue to experience problems, you might need to contact HP phone support for further assistance.
Hope this helps! Keep me posted for further assistance
