How do I change the scan folder destination on a Officejet Pro 9720

We understand how important it is to have your scans saved exactly where you need them, especially when you're working with large documents on your HP OfficeJet Pro 9720e Wide Format All-in-One Printer.

You can configure your printer to scan directly to a network folder, email, SharePoint, or your computer. Here's how to change the destination folder:

Scan to Network Folder (from the Control Panel)

  1. Access the printer’s control panel.
  2. Tap Scan > Network Folder.
  3. Select an existing folder or tap Add Folder.
  4. Enter the network path (e.g., \\ServerName\SharedFolder) and credentials if required.
  5. Tap Save to confirm.


Scan to Computer (Windows)

  1. Open the HP Smart App on your Windows 11 PC.
  2. Go to Scan > Settings.
  3. Under Save Location, click Browse and choose your desired folder.
  4. Save the settings and scan again.


Scan to Email or SharePoint

These options can also be configured via the control panel or HP Smart App. You’ll need to:

  • Enter your email credentials or SharePoint URL.
  • Choose default file format (PDF, JPEG, etc.).
  • Set the destination and save.

Thanks for your answer Vikram.  Unfortunatley I was not able to resolve the situation.

When I try the step below... when I choose scan to network folder, it gives me a QR code to scan.  I have already gone to the website and installed the full software, but I can't get past this message.

Scan to Network Folder (from the Control Panel)

  1. Access the printer’s control panel.
  2. Tap Scan > Network Folder.
  3. Select an existing folder or tap Add Folder.
  4. Enter the network path (e.g., \\ServerName\SharedFolder) and credentials if required.

    When I try the below, when I got to scan settings, there is no option to Save Loacation

    Scan to Computer (Windows)

    1. Open the HP Smart App on your Windows 11 PC.
    2. Go to Scan > Settings.
    3. Under Save Location, click Browse and choose your desired folder.
    4. Save the settings and scan again.
  5. Tap Save to confirm.

I understand how confusing it can be when your HP OfficeJet Pro 9720e shows a QR code instead of letting you scan to a network folder, even after installing the full software. You're doing everything right, and this issue is more about how HP has integrated Scan to Network Folder with its Embedded Web Server (EWS) and Quick Sets.
 

Let’s walk through the correct supported method to set this up and bypass the QR code prompt.

Fix: Set Up Scan to Network Folder via Embedded Web Server (EWS)

Step 1: Get the Printer’s IP Address

  • On the printer’s control panel, go to Settings > Network Setup > View Network Details
  • Note the IPv4 address (e.g., 192.168.1.105)


Step 2: Access the Embedded Web Server

  • On your Windows PC, open a browser and type the IP address into the address bar.
  • This opens the printer’s EWS dashboard.


Step 3: Configure the Network Folder

  • In EWS, go to Scan > Scan to Network Folder
  • Click Specify Network Folder
  • Enter: 
    • Network path (e.g., \\YourPCName\SharedFolder)
    • Username and password of the Windows account that has access to the folder
  • Click Apply

You can also configure this as a Quick Set so it appears directly on the printer’s control panel.


Step 4: Set Folder Permissions

  • On your PC, right-click the folder > Properties > Sharing > Advanced Sharing
  • Ensure Full Control is granted to the user
  • Also, check the Security tab and grant Read & Write access
