Note: From May 1, 2024, the HP Scan and Capture app will no longer be available (retired) in the Microsoft Store and HP will not release any further app updates. Alternatively, you can download HP Smart from the Microsoft Store. For more information on how to set up your printer using the HP Smart app, go to HP printer setup (HP Smart app).

Posting to help others:
At some point since my last usage of my printer as a scanner from Window 10. HP (HP Smart) appears to have started blocking Windows Fax and Scan App from seeing the printer as a scanner.  Additionally when starting HP Smart it only allows scans to be saved to a network drive, likely HP cloud.  I did not attempt to setup a network share on my local system.  HP smart also requires one to log into the HP cloud.   Sorry I have no desire to be forced to use yet another cloud storage system, (MS ONE Drive pisses me off as well).  I simply want to have control of my documents on my local system.

Solution  Remove HP Smart App from the computer. Windows Fax and Scan App immediately saw the scanner again and I was able to scan without issues.
Please Note: Windows Fax and Scan App only gives a max resolution of 300 DPI.

Another solution I read was to download an additional driver but to work it required being hard wired to the printer which doesn't work if the printer and computer are in different rooms.

Welcome to the HP Community.

True - since late 2020, HP Smart requires that you sign into the application using your HP Account credentials.

True - for those who object to doing so, the solution is to use other scan programs / applications.

The assertion that HP Smart requires you to save only to the network drive or Cloud is not true.

HP Smart includes a nice "share" feature (send to email).

"Share" requires that the "sender" address be added to Windows Mail.

HP Smart does support saving to whatever location is available in your Windows file system.

HP Smart does not require that you set up a remote / network drive nor does the application require that you select a Cloud drive location when using scan.

If you do have a network location "mounted" / mapped to your Windows File System,

If the permissions are correctly set for that device / location,

HP Smart supports using that location as a destination for scanned content.

As far as the application is concerned, you need not save anything to any location where you do not wish to do so.  The exception is the processing required to save the content "somewhere" in your account and possibly (temporarily) into other parts of the Windows File System.

True -

To load the full driver printer software,

The printer does have to be connected to the network or to the computer using a method supported for that printer model. For example, connection methods might include:  Ethernet / Wireless / Wi-Fi Direct / USB

There are scan options available in Windows 10 that do not necessitate signing into the application / software.

Some of these to require that the full driver printer software be installed on the system.

===========================================================================

HP Scan

HP Scan is part of the Full Solution / Full Feature Software / full driver printer software.

Excellent choice - HP Scan provides access to the scan features supported by the printer.

What else?

Try / Consider other Scan software / applications...

Older printer?

HP Scan Extended can be a nice addition to your already installed printer software.

If it works (can be installed and is functional in your environment),

HPSE provides some nice features, including Detect content boundary options and More > Destination folder assignment.

HP Scan Extended

  • Download-Save-Install

ftp://ftp.hp.com/pub/scanners/HPScanExt/HPScanExt.msi

  • HPSE is a subset an older Full Feature Software suite.
  • HPSE features are very similar to the HP Scan Software released after 2015.
  • Although HPSE appears to be a separate software, HPSE is dependent on the infrastructure provided by the Full Feature Software (full driver).  The Full Feature Software for your printer should be installed before installing and using HPSE.
    • OPTIONAL:  Add HP Scan Extended shortcut to Taskbar / Send to Desktop / Pin to Start
      • Open File Explorer > Navigate to C:\Program Files (x86)\HP\HP Scan Extended\bin
      • Right-Click HPScan.exe > Select Pin to Taskbar
      • Right-Click HPScan.exe > Select Send to Desktop (Create a Shortcut)
      • Right-Click HPScan.exe > Select Pin to Start

  • HP Scan Extended features include (and are not limited to): Single, Multiple scans, Image and PDF scans, Email as PDF / JPEG, Source selection, Page Size choices include Auto-Detect (extracts image / document boundary).  Might include OCR (Save as Editable Text).
