We are actually on iOS Sequoia 15, using Office 365 for most of our work. We have an HP Smart Tank 7602 set up to a MAC-Mini via wireless connection. While being logged in to the EWS for this printer, I have been trying many different settings to enable scan to email, but I get a couple of error messages:

"SMTP server busy, try again later"

"Incorrect credentials, check username and password"

 

Outgoing server settings: smtp.office365.com    Port 587

With and without Server Authentication

email account being used on the Mini: shipping@companyname.com

Account type: Exchange

I can't seem to figure out what I am missing.  Thanks

Setting up Scan to Email on the HP Smart Tank 7602 using Office 365 (smtp.office365.com) can be tricky due to strict Microsoft security requirements. Based on your details, here’s a step-by-step guide and what might be going wrong:

 

Checklist of Key Requirements

SMTP Server: smtp.office365.com

Port: 587

Encryption: STARTTLS (also known as TLS)

Authentication: Required (Use full email address and correct password)

Username: Your username

Password: App password (if MFA is enabled)

Sender Email: Must match the username

 

Likely Causes of Your Errors

Error 1: "SMTP server busy, try again later"

  • Could be a timeout, incorrect port, firewall, or incorrect encryption setting.
  • Ensure STARTTLS is selected, not SSL or no encryption.
  • Double-check that port 587 is open on your network.

Error 2: "Incorrect credentials, check username and password"

  • If you're using Multi-Factor Authentication (MFA) on the Office 365 account, you'll need an App Password — regular password will fail.
  • Go to Microsoft 365 admin > Account Settings > Security Info > Create an app password.

Recommended Configuration in HP EWS

  • Open HP EWS in your browser.
  • Go to Scan > Scan to Email > Outgoing Email Profiles.
  • Choose to Add or Edit the email profile.
  • Use these settings:
  1. SMTP Server: smtp.office365.com
  2. Port: 587
  3. Use STARTTLS: Yes
  4. SMTP Authentication: Yes 
    Username: Enter the user name
    Password: [Use an App Password if MFA is enabled]
  5. Sender Email Address: Enter the email address
  • Save settings.
  • Use Test or try scanning a document to that email.

Troubleshooting Tips

  • Create App Password: https://account.microsoft.com/security
  • If using Exchange-based account, ensure SMTP is allowed for that mailbox: 
    Admin must enable SMTP AUTH for that user in Microsoft 365 admin center.
    Go to Users > Active users > [your user] > Mail > Mail apps > Enable SMTP AUTH.
  • Firewall/Router: Ensure port 587 is open and not blocked by your ISP or firewall.
  • EWS Timeouts: If the interface is idle, refresh and try again.
  • Test with Another Email: Temporarily test with a Gmail account (with App Password).

Optional Debug Step: Enable SMTP Logging

If all fails, some HP printers support SMTP logging. Look under:

  • EWS > Settings > Administrator Settings or Diagnostics
  • Enable logging and try a scan-to-email. Review the logs for SMTP handshake errors.
