I'm setting up an HP Color LaserJet Pro MFP 3302

I created a Scan to Email destination (in the Scan Destination panel) on the HP Smart portal (https://admin.hpsmart.com/).

Everything works fine, besides that the pages scanned are in Letter format, and I would like it to be A4.

I can change it for each scan on the printer panel, but it should be possible to have it has default.

The Add Scan to Email contact  (screenshot below) does not seem to allow for this ? Is the option available somewhere else ?

I understand you’re trying to change the default scan page format from Letter to A4 for the Scan to Email function on your HP Color LaserJet Pro MFP 3302, but the HP Smart Admin portal doesn’t seem to provide that option. Let’s go through what’s happening and what you can do.

 

a. Why It Happens

The HP Smart Admin portal (admin.hpsmart.com) currently does not include a global page size setting for scan destinations.

By default, HP multifunction printers in regions set to “US” use Letter as the default scan format.

The page size set on the printer’s control panel overrides the online setting only for that session, not globally.

 

b. Set Default Page Size on the Printer (Persistent Method)
You can set the default scan size directly from the printer’s Embedded Web Server (EWS) or control panel instead of through the HP Smart Admin portal.

Steps:

Find your printer’s IP address:

On the printer control panel → Settings → Network Information → note the IP.

Open a browser on your computer and type that IP (e.g. http://192.168.x.x).

Go to:
Scan → Scan to Email Setup → Default Settings

Look for Original Size / Page Size → Select A4.

Save or Apply changes.

This will make A4 the default format for all future Scan-to-Email jobs, regardless of what’s set in the HP Smart portal.

 

c. Region & Locale Setting Check (Optional)
If the A4 option doesn’t persist:

In the same EWS menu, go to System → Administration → Set Language and Country/Region.

Ensure your country uses A4 as standard (e.g., India, UK, EU).

Apply and reboot the printer.

The default paper format automatically switches to A4 when the region is set correctly.

 

d. HP Smart Admin Portal Limitation
Currently, the web portal only lets you define email destinations and scan file parameters (PDF/JPEG, resolution, etc.), not the default paper size.

Any format adjustments must be made directly on the printer or its EWS.

Thanks for looking at the problem and for the detailed instructions to try to solve it.

Unfortunately this doesn't work.

 

As you'll see in the screenshot below, the EWS Scan To Email panel does not have an option for default settings. The A4 setting I have applied there does not impact the destinations configured on the HP Smart, which seems to be independent from configuration applied on HP Smart.

 

For the second option;  the EWS menu does not have a System Administration option as you described.

There is an option for the Country in General / Country Region. I have set it up to Belgium, but it does not impact the page format.

You’re absolutely right, for the HP Color LaserJet Pro MFP 3302, the Scan to Email configuration made via the HP Smart Admin portal (admin.hpsmart.com) is managed independently of the local Embedded Web Server (EWS) settings. Unfortunately, as of now, the HP Smart Admin portal does not allow customization of the default page size (Letter/A4) for cloud-managed scan destinations.

 

Here’s what you can do instead until HP updates this feature:

Use the Printer Control Panel for A4 Scans

When you initiate a scan from the printer, manually select A4 before scanning.

This setting will remain active during that session.

Use HP Scan or HP Smart App for Scanning

If you frequently scan to A4 and want it set as default, scan through the HP Smart app (on PC or mobile) or HP Scan (full driver package) instead of Scan-to-Email.

Both allow A4 to be saved as the default scan format locally.

Thanks for looking further into this issue.

You indicate : "Unfortunately, as of now, the HP Smart Admin portal does not allow customization of the default page size (Letter/A4) for cloud-managed scan destinations."

This means that, because I live in a country where A4 is the default, I cannot use this format as expected.

More over, as far as I know, the Cloud (e.g. Google Drive) destination is only available in the cloud-managed scan destination, which make this feature also unavailable to me. It was unfortunately one of the reason why I chose this device, with a extra cost for those not supporting Google Drive as destination.

As an indication,  A4 is the default page format for 98% of countries in the world.

I can't understand that a brand like HP does not take this into account in their system.

Given that, I hope you'll understand I can not accept this as a solution to the problem.
