HP ScanJet Pro 2600 f1
Microsoft Windows 11

We are looking at using OCR functionality to capture information from scanned documents, such as the Work Order number, and automatically assign that value as the PDF filename.

Could you advise whether this can be achieved and what software or configuration would be required?

Hi  @Dorrice77,

Welcome to the HP Support Community!

Thanks for reaching out!

I understand you're looking to use OCR with your scanner to automatically extract information such as a Work Order number and use that value as the PDF filename, don’t worry let me help you with this.

To better understand your setup, could you kindly confirm the below details:

  • Which scanning software are you currently using ?
  • Are the Work Order numbers always located in the same area on the document?
  • Have you already tested the OCR feature, or are you still evaluating possible solutions?

In the meantime, here are a few things you can check:

  1.  OCR Support
    • Open your scanning software and check whether OCR (Optical Character Recognition) is enabled.
    • Scan a document and confirm that the resulting PDF is searchable by selecting or searching text within the PDF.
I have checked on the specs of your unit
  2. Check HP Scan Pro Capabilities
    • HP Scan Pro supports OCR and searchable PDF creation, but automatic file renaming based on extracted text may require additional workflow software.
  3. Test OCR Accuracy
    • Scan a sample document containing a Work Order number.
    • Ensure the text is clear, properly aligned, and free from shadows or skewing, as OCR accuracy is critical for automated file naming.
  4. Review Scanning Resolution
    • Use at least 300 DPI for documents containing small text or identification numbers.
    • Higher quality scans generally improve OCR recognition.

I hope this helps.
