Hi @KAP33,

Welcome to the HP Support Community.

Thank you for posting your query. I will be glad to help you.

I understand how frustrating it must be to encounter issues with scanning to email on your HP Color LaserJet Pro MFP 3301sdw — especially with your extensive IT background. Let's try to get this resolved with some straightforward steps.

Step 1. Verify Network and Email Server Settings

Check Network Connection:

  • Ensure the printer is connected to the same network as your PC.
  • Go to the printer's Control Panel > Network Settings > Wireless or Ethernet to confirm the connection.

Test Internet Connection:

  • Ensure the printer can access the internet by performing a Network Configuration Report from the printer settings.

Step 2. Set Up Scan to Email (Step-by-Step)

1. Access Embedded Web Server (EWS):

  • Find your printer's IP address on the printer's control panel.
  • Enter the IP in your web browser.

2. Go to the "Scan" Tab and Select Scan to Email Setup.

3. Configure SMTP Settings:

  • Outgoing SMTP Server:
  • For Gmail: smtp.gmail.com
  • For Outlook: smtp.office365.com
  • Port:
  • 587 (TLS/STARTTLS) or 465 (SSL)
  • Enable Authentication:
  • Enter your email and app-specific password if using 2FA.

4. Test Email Function:

  • Send a test scan to your email.

Step 3. Run HP Print and Scan Doctor

  • Download from HP Print and Scan Doctor.
  • Run the tool and follow the instructions.
  • Check for network, software, and firmware issues.

I hope this helps.

Take care and have a good day.
