@KlausCH, Welcome to HP Support Community.
Thank you for posting your query, I will be glad to help you.
We see that you're using an HP OfficeJet Pro 9120e and previously could save scans as searchable PDFs using HP Smart, but now that option is missing or not working. Here's how to troubleshoot and potentially restore that functionality:
Check HP Smart App Version
- Open HP Smart → Click on your profile (top right corner) → About.
- Make sure you’re using the latest version. If not, update from the Microsoft Store.
- A buggy update may also cause this, so if the problem started after an update, that might be the reason.
Reinstall OCR Capabilities
Searchable PDFs require OCR (Optical Character Recognition) tools, which can sometimes go missing. Try this:
- Uninstall HP Smart and any other HP scanning software (HP Scan, OCR tools, etc.).
- Restart your PC.
- Download and reinstall:
- HP Smart from the Microsoft Store.
- Full Feature Software for HP 9120e.
- Optional: Install Readiris or HP Scan Extended, which includes OCR tools.
Use HP Scan (Classic) Instead of HP Smart
HP Smart is feature-rich but not always reliable with advanced scan options. Steps:
- Download the HP Print and Scan Doctor and run it.
- If that doesn’t help, install HP Scan Extended:
- Go to: HP 9120e Software page.
- Download the HP Scan Extended Utility if available.
- Open HP Scan → Choose the “Save as PDF (Searchable)” option.
Check the “Save as” Options
Sometimes it’s a UI issue:
- After scanning, choose Save As → Click More options.
- Look for the OCR/Searchable PDF toggle. If it’s missing, OCR isn’t installed.
Use an Alternative OCR Tool
If HP Smart won't work:
- Use Microsoft OneNote (Insert → Picture → Right-click → Copy text).
- Or try FreeOCR, PDF-XChange Editor, or Adobe Acrobat for searchable PDF creation.
I hope this helps.
Take care and have a good day.
