When your HP printer asks for a username and password during scanning, it usually means the printer is trying to send the scanned document to a network folder (SMB) or email server (SMTP), and those services require authentication.

Steps to Fix This

1. Scan Using HP App


2. If You Want to Scan to a Network Folder

  • You must provide the username and password of the computer or server hosting the folder.
  • Example: 
    • Username: Your macOS account name
    • Password: Your macOS login password
  • Ensure the folder is shared and accessible on the same network.


3. If You Want Scan to Email

  • Enter the credentials for your email account (SMTP settings).
  • For Gmail or Outlook, you may need an App Password if two-factor authentication is enabled.


4. Disable Authentication (Optional)

  • Open the printer’s Embedded Web Server (EWS)
    • Find the printer’s IP address (print a Network Configuration Page).
    • Enter the IP in your browser.
  • Go to Scan Settings and check if authentication can be disabled for local scans.
