When your HP printer asks for a username and password during scanning, it usually means the printer is trying to send the scanned document to a network folder (SMB) or email server (SMTP), and those services require authentication.
Steps to Fix This
1. Scan Using HP App
- Download the HP app for macOS from HP App – For HP Printers, Laptops, and Tech Accessories | HP® Official Site.
- Open the app and select Scan.
- This bypasses network authentication and scans directly to your computer.
2. If You Want to Scan to a Network Folder
- You must provide the username and password of the computer or server hosting the folder.
- Example:
- Username: Your macOS account name
- Password: Your macOS login password
- Ensure the folder is shared and accessible on the same network.
3. If You Want Scan to Email
- Enter the credentials for your email account (SMTP settings).
- For Gmail or Outlook, you may need an App Password if two-factor authentication is enabled.
4. Disable Authentication (Optional)
- Open the printer’s Embedded Web Server (EWS):
- Find the printer’s IP address (print a Network Configuration Page).
- Enter the IP in your browser.
- Go to Scan Settings and check if authentication can be disabled for local scans.
