I cannot get scan-to-email to work on any of the three SMTP servers available to me: Gmail, iCloud and a private domain hosted by InMotion. I have tried every permutation of port and "SSL Required" settings and have confirmed that the SMTP server address and credentials are correct in each case. When testing from the embedded web server, iCloud and InMotion return an ambiguous error that suggests trying a different port—I have done this—while Gmail says it doesn't support the authentication method (I'm guessing it needs TLS and the printer can't do it).

 

This is extremely frustrating! Any thoughts? My first choice is to use InMotion since I have set up a dedicated email address for this, but at this point I'd be happy with iCloud or Gmail too.

Hi,

Gmail had recently changed several security options which may block the printer from connecting to their servers.

First, open the following link and ensure you are logged on to the same account as you are set for the printer.
https://myaccount.google.com/

Within the Sign-in & security section click on Signing in to Google and ensure that "2-Step Verification" is set as "Off".

Within the left pane click on Connected apps & sites and ensure that "Access for less secure apps" is set as "ON", otherwise the verification will fail.

Within the left pane click on Device activity & notifications, within the 'Recent security events' section click the Review events link and ensure there are no blocked connection attempt (it will be highlighted in red), if there is an alert, follow the steps on screen to ensure there is no block for that device.


Once you are done run a test for the outgoing user profile and check if the problem been resolved.

 

For the other accounts, what exact settings do you use? what exact server and port are used?

Thank you - turning off "Access for less secure apps" resolved it. But I have to say, that setting is there for a reason; a user shouldn't have to open a hole in Gmail security just to use this printer feature, because the setting applies to a lot of apps other than this one, some of which may not be so safe. I hope HP will address this.

You may try enabling 2 factor authentication and then crear an app specific password for your printer and use that password instead, that may allow using Gmail with less secure apps disabled.

 

Also for iCloud you may enable 2 factor and then creat an app specific password for your printer and check if that works:
