Setting up Scan to Email on your HP printer allows you to scan documents directly to an email address from the printer's control panel. Here's how to do it:
Steps to Set Up Scan to Email (Using HP Embedded Web Server - EWS)
⚠️ Before you begin, ensure your printer is connected to the same network as your computer.
Get the Printer’s IP Address
- On the printer control panel, go to Settings > Network Settings.
- Note the IP address displayed.
Access the Embedded Web Server (EWS)
- Open a web browser on your computer.
- Type the printer’s IP address in the address bar and press Enter.
- You’ll see the printer’s EWS homepage.
Navigate to Scan to Email Setup
- Click the Scan tab at the top.
- In the left pane, click Scan to Email > Scan to Email Setup.
Create an Email Profile
- Under Outgoing Email Profiles, click Add New Profile.
- Enter:
- Email Address (e.g., yourcompany@domain.com)
- Display Name (e.g., "Admin Printer")
- Optional: Set a Security PIN to restrict access.
Configure SMTP Server Settings
- Enter your SMTP Server (e.g., smtp.gmail.com or smtp.office365.com).
- Enter the SMTP Port (usually 587 or 465).
- If required, enable authentication and enter your email username and password.
Finalize and Test
- Choose whether to include the sender in outgoing emails.
- Click Save and Test.
- If successful, you’ll see a confirmation and receive a test email.
Scan to Email from Printer
- On the printer control panel, tap Scan > Email.
- Select the configured profile.
- Enter recipient email manually or choose from address book.
- Tap Send.
