The error message "Username or password is incorrect. Make sure both user account and password are valid" typically appears when scanning to a network folder (SMB share) or email, and the printer cannot authenticate with the credentials provided.
Here are steps to resolve this issue:
Verify the Username and Password
- Ensure the username and password entered in the printer’s scan-to-network-folder or scan-to-email setup are correct.
- If scanning to a Windows shared folder:
- Use the format: ComputerName\Username or Domain\Username (if on a domain).
- Ensure the password is current and not expired.
Check Folder Permissions
- On the PC hosting the shared folder:
- Right-click the folder > Properties > Sharing tab > Advanced Sharing.
- Ensure the user account has Read/Write permissions.
- Also check Security tab to confirm NTFS permissions.
Enable SMBv1 (if required)
Some older HP printers require SMBv1 protocol to scan to network folders. On Windows 10/11:
- Go to Control Panel > Programs > Turn Windows features on or off.
- Check SMB 1.0/CIFS File Sharing Support.
- Restart the PC.
SMBv1 is deprecated due to security risks. Use only if necessary and consider updating printer firmware or using alternative scan methods.
Reconfigure Scan-to-Network Folder or Email
- Use the Embedded Web Server (EWS) of the printer:
- Find the printer’s IP address (from the control panel or HP Smart app).
- Enter the IP in a browser to open EWS.
- Go to Scan > Scan to Network Folder or Email Setup.
- Re-enter credentials carefully.
Test the Connection
- After setup, try scanning again.
- If the error persists, try using a different user account or reset the password and reconfigure.
