HI @Rochellejay ,
Welcome to HP Support Community.
Thank you for posting your query, I will be glad to help you.
It sounds like you're encountering an issue where the scanned document is appearing in the body of the email rather than as an attachment. This can happen for a few reasons, depending on the software and settings you are using. Here are some steps to ensure your document appears as an attachment:
Check Your Scanning Software Settings: Most scanners come with software that allows you to choose how to handle the scanned document. Ensure that the software is set to save the document as a file type that you can attach to an email, like PDF or JPEG. There might also be an option to directly email the scanned document as an attachment—make sure this is selected if available.
Save the Document First: Instead of using any direct email feature in the scanner software, you could first save the scanned document to your computer. Then, create a new email and manually attach the file from where you saved it. This gives you more control over how it is sent.
Check the Email Client Settings: Some email clients or services have settings or extensions that might automatically embed images into the body of an email instead of treating them as attachments. Check the settings of your email client. Look for options like “Insert files as attachments” and not “Insert images in the body”.
Scan Quality and Format: If the document is scanned as a high-resolution image, some email programs might automatically embed these into the body to maintain image quality. Try scanning the document with standard settings or as a PDF to see if this changes how it is handled.
Update Software and Drivers: Make sure that your scanner's software and drivers are up to date. Outdated software can sometimes cause unexpected behavior.
I hope this helps.
Take care and have a good day.
