@Scan-To-Email, Welcome to the HP Support Community!
Thanks for reaching out about your query regarding Setting up Scan to Email on HP Color LaserJet Pro MFP M281fdw!
We're thrilled to have the opportunity to assist you and provide a solution.
To resolve the "invalid username or password" error when setting up Scan to Email, follow these steps:
Before You Begin
Ensure you have the following information:
- Active Network Connection: Ensure the printer is connected to a network.
- Administrative Access: You need administrative access to the printer's settings.
- SMTP Server Details: SMTP server name (e.g., smtp.mycompany.com), port number, and any authentication requirements.
- Email Account Credentials: Username and password for the email account used.
Step 1: Access the HP Embedded Web Server (EWS)
- Get IP Address:
- From the Home screen on the printer control panel, touch the Information or Network icon to display the IP address.
- Open EWS:
- Open a web browser and type the IP address exactly as displayed on the printer control panel, then press Enter. The EWS opens.
- If a security warning appears in the browser, select the option to continue to the website.
Step 2: Configure Network Identification Settings (Advanced)
- Navigate to Networking:
- Click the Networking tab in the top navigation.
- In the left navigation pane, click TCP/IP Settings.
- Network Identification Tab:
- Ensure the DNS suffix is listed (e.g., companyname.com).
- If not set up, use the IP address.
- Click Apply, then OK.
Hope this helps!
Take care, and have an amazing day!

@Scan-To-Email, thanks so much for sharing the screenshot — super helpful!
It looks like you're on the right track, and yes, you're absolutely right — the TCP/IP Settings option doesn’t show up in the interface for this model. That’s okay, we’ll work around it!
The “Invalid username or password” error usually points to one of these:
Quick Checklist:
App-Specific Password:
If you're using Gmail, Outlook, or Yahoo, and 2-Step Verification is enabled — regular passwords won't work. You'll need to generate an App Password and use that instead.
SMTP Settings:
Make sure the following are correctly entered under the Scan to Email > Outgoing Email Profiles section:
SMTP Server: e.g., smtp.gmail.com
Port: 465 (SSL) or 587 (TLS)
Authentication: Enabled
Email/Login: Full email address (e.g., user@gmail.com)
Password: App password (not your usual one)
Enable Less Secure Apps (If Applicable):
Some email services (like older Gmail setups) might still require enabling access for less secure apps.
Check Time/Date on Printer:
If the printer’s clock is off, authentication may fail. Go to Settings > Preferences > Date and Time and make sure it’s current.
Hope this helps!
