Common problems for Connectivity Issues
We would like to share some of the most frequently asked questions about Printer Wi-Fi, Connectivity Issues and Offline Status. Check out this link: HP printer is offline or unavailable.

HP Deskjet 2540
  • HP 2540 will not connect to Windows 11 wireless network. It has been on line successfully without issue since my customer purchased this new laptop a few months ago. But recently it has intermittently displayed the connection error. Now it will not connect at all. The printer is recognized in settings but appears as "off-line". I have tried rebooting the printer and the computer with no luck. The only thing I can think of trying is to remove the printer from the system and re-adding it. Note that this is my customer's printer so I have not tried to inspect the firmware level on the printer or the driver level on Windows 11, but I don't think the latter is a problem because  my customer's computer is a new Windows 11 laptop, so the installation on this computer would not be very old and the install would have chosen a relatively new driver.

It sounds like you're dealing with a connectivity issue between the HP Deskjet 2540 printer and the Windows 11 laptop. Here are some steps you can try to resolve this problem.

 

Check Network Connections:

  • Ensure that both the printer and the laptop are connected to the same Wi-Fi network.

Restart Devices:

  • Turn off both the printer and the laptop. Wait for a minute, then turn them back on. This can sometimes resolve temporary connectivity issues.

Update Printer Firmware (if possible):

  • Check if there's a firmware update available for your HP Deskjet 2540 printer. Updating the firmware can sometimes fix bugs related to network connectivity.

Reinstall Printer Driver:

  • Since the printer is recognized but shows as offline, reinstalling the printer driver on the Windows 11 laptop might help. Here’s how you can do it:
    • Open Settings on Windows 11.
    • Go to Devices > Printers & scanners.
    • Select your HP Deskjet 2540 printer, then click Remove device.
    • Once removed, click on Add a printer or scanner and follow the prompts to reinstall the printer.

Check Printer Status Lights:

  • Make sure there are no error lights or messages on the printer itself that could indicate a hardware issue or a specific error condition.

Disable Firewall/Antivirus Temporarily:

  • Sometimes, security software can interfere with printer connections. Temporarily disable firewall or antivirus software on the laptop and check if the printer connects.

Reset Network Settings on Printer:

  • On the HP Deskjet 2540 printer, there might be an option to reset network settings. Refer to your printer’s manual to perform a network reset and then reconnect it to your Wi-Fi network.

Check for Interference:

  • Ensure that there are no other devices or appliances near the printer or laptop that could interfere with the Wi-Fi signal.
