I have a HP OfficeJet Pro 9025e which has worked well until now. I replaced a yellow cartridge, and it said, "There is a supply system failure." I thought it was a defective cartridge, so I sent them back, and received a new set of cartridges, but the problem remains with the new cartridges. I have unlatched the print head, jiggled it, and even replaced the new cartridges, but still the error. I have tried to wipe off the print heads and each cartridge. But nothing solves the issue.  My printer is only 2 years/4 months old, and now not under warranty. What do I need to do?

The error message "There is a problem with the supply system" on your HP OfficeJet Pro 9025e typically indicates an issue with the ink delivery system, which can be caused by:

  • Faulty or incompatible cartridges
  • Blocked cartridge vents
  • Printhead issues
  • Internal ink system failure

Here’s a step-by-step guide to troubleshoot and potentially resolve the issue:

 

Reset the Printer

A simple reset can often clear system errors:

  • Turn off the printer using the power button.
  • Unplug the power cord from the printer and the wall outlet.
  • Wait 60 seconds.
  • Plug the power cord directly into a wall outlet (avoid power strips).
  • Turn the printer back on.

Check Cartridge Vents and Installation

  • Remove all cartridges.
  • Inspect the vent area (small hole on top) of each cartridge. If clogged, gently clean it with a pin or paperclip.
  • Reinsert each cartridge firmly into its color-coded slot until it clicks.

Make sure you're using genuine HP 962 cartridges, as third-party or refilled cartridges can cause this error.

Clean the Printhead Contacts

  • With the printer off, open the cartridge access door.
  • Gently remove the cartridges and the printhead (if removable).
  • Use a lint-free cloth slightly dampened with distilled water to clean the electrical contacts on the printhead and cartridges.
  • Let everything dry for 5–10 minutes before reinserting.

Update Printer Firmware

Outdated firmware can cause cartridge recognition issues:

Try a Different Set of Cartridges

Even new cartridges can be defective. If possible, try a different set of genuine HP cartridges.

 

If none of the above steps resolve the issue, the printhead or internal ink system may be failing. In that case, please visit the nearest HP authorized service center, the service team will check and assist you.
