Hi @Domi1949
Welcome to HP Support Community.
Thank you for posting your query, I will be glad to help you.
If your HP DeskJet 4540 isn't printing Word files after upgrading to MS Office 2021, here are some troubleshooting steps you can try:
1. Check Printer Status
- Make sure your printer is powered on, connected, and showing as "Ready" or "Online" in the printer settings.
2. Restart Devices
- Restart your printer and your computer. Sometimes a simple restart can resolve communication issues.
3. Set as Default Printer
- Ensure your DeskJet 4540 is set as the default printer:
- Go to Settings > Devices > Printers & Scanners (on Windows).
- Find your DeskJet 4540, click on it, and select Manage.
- Click Set as Default.
4. Update Printer Drivers
- Ensure you have the latest printer drivers installed:
- Visit the HP support website and download the latest drivers for the DeskJet 4540.
- Install any updates and restart your computer.
5. Check for Office Updates
- Make sure your MS Office 2021 is fully updated:
- Open any Office app (like Word).
- Go to File > Account > Update Options > Update Now.
6. Print from a Different Application
- Try printing a test page from a different application (like Notepad or Adobe Reader) to check if the issue is specific to Word.
7. Print as PDF
- As a workaround, you can try saving your Word document as a PDF and then print the PDF file to see if that works.
8. Repair Office Installation
- If the problem persists, you might want to repair your Office installation:
- Go to Control Panel > Programs and Features.
- Find Microsoft Office, right-click on it, and select Change.
- Choose the option to repair Office.
9. Check Print Queue
- Make sure there are no stuck print jobs in the queue:
- Open Devices and Printers in the Control Panel.
- Right-click your printer and select See what's printing.
- If there are any stuck jobs, right-click on them and select Cancel.
I hope this helps.
Take care and have a good day.
