When copy and paste into word 2010 is used it looks fine in print preview. But when printed the image is enlarged and cropped. Only in the Desk Jet 2545 but prints fine in the Desk Jet 1500. In control panel the text size is 110%. Windows 7 Professional Reinstalled the drivers complete software. My wife is visually impaired so I can not make the text size smaller on windows. She has a binder for her personalized phone book.  I look up the info and make a sheet for every company or doctor she needs to call. I add the company logo picture to that sheet but  it will not print properly in that one printer.

I have not used Word 2010 in a very long time nor do I have any DeskJet Printers.

 

That said, as I recall, the 2010 version of Windows (as does every version since) dislikes copy-and-paste as a method to add data to a document.  In particular, adding image data into the document this way can result in oddly sized printed images.

 

Sure, the printer software impacts how the Word document is interpreted.

No, I cannot provide a specific reason in this instance why it works "here" and not "there".

 

Option

If you can do so, use Insert to add image data to your document.

What else?

 

If your version of Word supports Export, the easier option:

Export the Word document to PDF and print that.

Why?  PDF does not "see" image file data as might other software (for example, Word).

 

In the unlikely event that the image data is still "oddly sized",

Print the PDF file as an Image.

 

Reinstall / Update your PDF Reader (Adobe Reader DC /Optional  Foxit Reader)

  • HINT:  Watch out for and UNCHECK unwanted extra software
  • Adobe Reader DC software should be installed even if you do not open / view / print PDF files directly from the software.

Print PDF File

Example - Adobe Reader DC  - Main Print Menu

Open document in Reader DC

Click the print icon...

Adjust the settings on the main menu

Click Properties to select the Shortcut and add the paper size

Click OK to save the changes and exit the Properties menu

Back on the main print menu, when ready, click Print

 

If the file will not print due to unusual content (odd fonts, color schemes, tables, other oddities), print the file as an Image.  Image printing does not require the printer software to translate file content.

 

  • Save the document to your computer
  • Open the offending document in Adobe Reader DC
  • Click Print icon > Set other options on the menu > Click Advanced button
  • Set the printer select the colors (Optional)
  • Select Print the PDF file as an image

Insert Image Files into Word document

 

Always use Insert as opposed to copy/paste to add images to your Word documents.

After the image is inserted into the document, Right-Click on the image and select Size and Position

Adjust as needed.

"Fix the image" as it appears in your Word Document

 

If you do not already have a copy of the image file, create a file from the image in your Word document.

Open your Word document

Right-Click on the Image

Use "Save-As" and save the image as a .jpg file on your computer.

Pay attention to the folder in which you save the file...

 

Use Insert > Pictures and insert the image file into your Word document.

 

Right-Click on the image (after it is placed in the document)

Adjust the Size and Position to move the image inside the document boundaries.

Image in a Text Box

 

NOTE:  This option might not be supported in all versions of Word.

 

If all else fails and the image won't "stick",

Try / Consider

 

Insert Text box

Then Insert your image inside the box

 

Use Insert (as opposed to copy / paste) when placing images into a document

If images will not stay contained in spite of margins:

 

Insert a Text box of the size necessary to contain the image

Remove the "default text" bits from the box

Insert the Image inside the empty text box

 Word – Document Scale

 

Trouble with labels and possibly with other documents that include mixed content types:

 

There is a setting in Word that will "scale" a document for Letter / A4 paper.

If you are having alignment issues with your document (for example, labels, bottom of page chopped), UNCHECK this setting.

 

When printing directly from within Word

Setup:

Word > FileOptions > Advanced

In Section Print (about 2/3 of the way down)

UNCHECK "Scale content for A4 or 8.5 x 11" paper sizes

Click OK to save changes

 Word – Document Line Spacing

 

Word > Line spacing can get you into trouble, 

When the other settings are correct, check / set / adjust the line spacing (before / after) the image placement to "single space" (as opposed to Normal).

Adjust the Image Size and Quality in Word

 

If it is only the "one" image that is misbehaving, you likely do not have to change this setting...

 

Word document > File > Options > Advanced

In Section Image Size and Quality

CHECK Do not compress images in file

and

Select a Default Resolution

For example, 330 ppi or 150 ppi

A lower number creates a less dense image (and slightly reduces overall file size).
