message: printer offline, but printer is on, connected, wireless

cannot send doc from computer to printer

If your printer is showing as "offline" even though it is on and connected to Wi-Fi, here are some troubleshooting steps you can follow:

Step 1: Check Printer Status

Restart the Printer:

  • Turn off the printer, unplug it for a minute, then plug it back in and turn it on.

Check Printer Display:

  • Ensure that there are no error messages or warnings displayed on the printer itself.

Step 2: Check Network Connection

Ensure Wi-Fi Connection:

  • Make sure the printer is connected to the same Wi-Fi network as your computer.
  • You can print a network configuration page from the printer to check the connection.

Reconnect to Wi-Fi:

  • If the printer is not connected, reconnect it to your Wi-Fi network through the printer’s control panel.

Step 3: Set Printer to Online

  1. Change Printer Status on Computer:
    • Go to Settings > Devices > Printers & Scanners.
    • Select your printer and click on Open queue.
    • Click on Printer in the menu and ensure that Use Printer Offline is unchecked.

Step 4: Update Printer Drivers

  1. Update Drivers:
    • Visit the HP support website (or the manufacturer’s website if it’s another brand) to download and install the latest drivers for your printer.

Step 5: Run the Printer Troubleshooter

  1. Use Windows Troubleshooter:
    • Go to Settings > Update & Security > Troubleshoot > Additional Troubleshooters.
    • Select Printer and run the troubleshooter.

Step 6: Restart Print Spooler Service

  1. Restart the Service:
    • Press Win + R, type services.msc, and press Enter.
    • Find Print Spooler, right-click it, and select Restart.

Step 7: Check Firewall and Security Software

  1. Temporarily Disable Firewall:
    • Sometimes, firewalls can block printer connections. Temporarily disable your firewall or antivirus software to see if that resolves the issue.

Step 8: Reinstall the Printer

  1. Remove and Re-add the Printer:
    • In Printers & Scanners, remove the printer and then re-add it by clicking on Add a printer or scanner.

Step 9: Use IP Address to Add Printer

  1. Add Printer via IP:
    • If it’s a network printer, you can add it using its IP address:
      • In Printers & Scanners, click on Add a printer or scanner, then The printer that I want isn’t listed.
      • Select Add a printer using a TCP/IP address or hostname and enter the printer's IP address.
