Trying to set up a HP Color LaserJet MFP M281fdw to scan to email. I've done this before, dozens of times, but this machine isn't taking it. Here's the setup:
SMTP Server: smtp.office365.com
SMTP Port: 587
TLS Enable: checked.
Authentication: Always
UserID: Tried one specifically for the device, and my own Office 365 ID
Password: typed it in, and copy and pasted it in.
IP is private (192.168.5.50)
Gateway is fine, Subnet is fine, DNS is Google public 8.8.8.8
IPV6 is off.
Wifi is off.
I have used the account on the device to sign into Office.com sucsessfully.
I have turned off multi-factor authentication
What am I missing? there's no firewall issue I can see.
I have a HP Color LaserJet MFP M277dw with the exact same settings, and it works

Check Office 365 Connection Logs:
- If you have access to Office 365 admin tools, you can check the audit logs to see if there are any connection attempts or failed logins from your printer's IP. This may give you insight into whether the connection is being rejected due to policy or other issues.
Try an App Password (If MFA is Enabled Again):
- If you re-enable multi-factor authentication later, try generating an App Password from Office 365 security settings and using that in place of the regular password.
Test with a Different Email Service:
- As a troubleshooting step, try setting up the scan-to-email function using a different SMTP service (e.g., Gmail's SMTP) to ensure that the issue is specific to Office 365. This can help rule out printer-related issues.
Update Printer Firmware:
- Ensure that your HP Color LaserJet MFP M281fdw is running the latest firmware. Firmware updates often include improvements to compatibility with external services like email servers.

Check SMTP Server and Credentials:
- Verify if the SMTP settings for smtp.office365.com have changed or if there are updated requirements for authentication from the Office 365 side.
- Confirm that the username and password you're using are correct and match the Office 365 credentials for the email address you're setting up.
Office 365 SMTP Authentication Settings:
- Double-check that SMTP authentication is enabled for the account you're trying to use. Sometimes this setting needs to be enabled from within the Office 365 admin center (or Exchange Admin Center).
- Ensure that SMTP Auth is enabled for the specific mailbox you are using. You can check this in Office 365 settings under Mail flow.
Enable "Less Secure Apps" (Optional for O365 Accounts):
- In the security settings of Office 365, ensure that the account allows sending via "less secure apps." Although you've turned off multi-factor authentication, Office 365 sometimes blocks apps that it categorizes as less secure from using SMTP.
TLS Version Compatibility:
- Ensure that the printer is configured to use the correct TLS version. Some SMTP servers require a minimum of TLS 1.2. Check the firmware version of your M281fdw and ensure it is up to date to support modern TLS versions.
Use Different DNS Servers:
- Google DNS (8.8.8.8) is fine, but some Office 365 configurations may work better with your ISP's DNS or Microsoft's public DNS (8.8.4.4 or 208.67.222.222).
