I recently bought a new HP OfficeJet Pro 9125e All-in-One Printer. I had 966 for almost 10 years and loved it.
I use scan to a Network Shared folder feature a lot to scan documents quickly that I want to keep digitally and shred the paper copies. All I want is put the paper on printer, use the LCD screen on printer and choose Scan to Network Folder.
The new HP 9125e is having hard time validating the id/password for the network shared folder. I can access the network shared folder from another on network using local id/ password created on the Win10 VM. I can access it without issue from my Win10 laptop as well. The shared folder is on a Win10 VM that is part of local small AD domain. I tried local and domain both account types. But the Printer UI > Quickset Feature to add a network share location is not successfully validating the id/password. I even factory reset the printer but getting same issue.
Printer is connected to IPv4, static IP with correct DNS, network configs. I can print from other Windows / Mac devices on network. WifiDirect, IPv6 or other network options are disabled. Only using it with ethernet cable.

I regret to hear that the issue is not resolved, I would request you to please follow the steps below and also I would request you to please try to perform it with the computer and not through the VM.
Could you please share the Network Configurations.
Access Embedded Web Server (EWS)
- Ensure printer and computer are on the same network.
- Print a Network Configuration Page to find the printer’s IP.
- Enter the IP in a browser to open EWS.
Enable Scan to Network Folder
- In EWS, go to Scan/Digital Send → Scan to Network Folder Setup.
- Check Enable Scan to Network Folder.
Set Up Destination Folder
- Create or select a shared folder on your PC/NAS.
- Confirm you have Write permissions.
- In EWS, enter the folder path (ComputerName\SharedFolder).
- Add your Windows username and password under Authentication Settings.
Configure QuickSet
- In EWS, go to
- Create or edit a profile (eg“Office Scans”).
- Enter folder path and credentials.
- Test the connection to confirm access.
Adjust Notifications & Scan Settings
- Set notifications (e.g., alert only if job fails).
- Choose scan preferences: resolution, file type (PDF/JPEG), color, etc.
Save & Test
- Save all changes.
- On the printer LCD, select Scan → Network Folder → QuickSet.
- Scan a test document to verify.
To print a Network Configuration Page
Power On the Printer:
- Ensure your printer is turned on and operational.
Load Paper:
Access the Control Panel:
- On the printer control panel, locate and press the Menu button.
Navigate the Menu:
- Use the navigation buttons to scroll through the menu options.
- Select "Reports" from the menu.
Select Network Config:
- Navigate to the "Network Configuration" or similar option.
Print the Page:
- Follow the prompts to print the Network Configuration Page.

Just to add more, I've reviewed other posts with similar issue but those were not helpful. I've the latest firmware on HP OfficeJet Pro 9120e printer.

Use the IP address in place of the host name.

I cannot advise on using the AD (domain) though it might be worth trying.

In your first image, step 2 has 'Verify Access' link on the middle of that screen. That is the step where I keep getting the error I posted.
Things I've tried:
a. IP based share \\192.168.1.96\scan and hostname \\Win10VM\scan in network share folder. Win10VM is part of a small AD network (less than 10 devices)
b. I can access the network share from another laptop running Win10 as workgroup.
c. I've a old legacy small biz IOMEGA network storage device with a network share. Same issue with that share from HP screen above. I can access it from Win10 and other devices.
d. That step 2 HP quick set screen has Domain as optional field. I tried my domain account and also local account on Win10VM. Same issue. I've basically same ID / password for local and AD domain account for this scanning. Somehow I think that HP screen assumes if you want to use a network share without AD domain, you only enter ID and password. Typically a Windows workgroup PC is access with hostname\id format and the password. Just like Domain\ID and password in case of AD environment.
I've this HP Printer in warranty. Is there a way to get some HP support with shared session to review the issue or suggest what might be needed to setup this HP OfficeJet Pro 9120e printer with scan to network share option?

Warranty does not generally include software beyond a standard printer setup within a limited time after purchase.
That said, it's possible I've missed something or that I do not understand the process as well as I believed.
It sounds like a possible permission issue -- possibly due to the network folder's Shared folder status or -- in the case of a NAS (for example), the destination folder needing the Everyone group assignment. ??
I will request someone else have a look.

Hi,
My issue has been resolved. It turned out few things:
a. I factory reset the printer and configured again
b. In one scan config, I used the IP instead of hostname and that worked
c. I don't know if a host with multiple IP might be confusing to HP printer to use host name. But works when used IP.
