I am needing to setup scan to draft in Outlook. We are using a **bleep** account but have someone who prefers to utilize Outlook desktop app. With the previous printer/scanner (Brother) they were able to receive scans to an open email draft.
I have scan to email setup with the HP OfficeJet Pro 9010 but need to have it received into a draft.
Thank you!

Hi @Makokyk,
Welcome to the HP Support Community.
Thank you for posting your query. I will be glad to assist you.
I see that you are facing an issue with setting up scan to email feature on your printer
To set up your HP OfficeJet Pro 9010 to scan documents directly into an email draft in Outlook, you can follow these general steps:
Configure Your Email Settings on the HP OfficeJet Pro 9010:
- On the printer's control panel, go to the Setup menu.
- Select Email Setup or Scan to Email.
- Enter your email account details (you might need the SMTP server settings for your email provider). For a typical Outlook/Office 365 account, the SMTP server would be smtp.office365.com with port 587, using TLS/SSL encryption.
Set Up Scan to Email:
- Once the email settings are configured, you should be able to use the printer to send scanned documents as email attachments. This typically involves selecting the Scan to Email option on the printer.
Draft Email Creation:
- The ability to create an email draft directly from the scanner might not be natively supported by all printers. The HP OfficeJet Pro 9010, for instance, can send emails but may not directly interface with drafts in Outlook.
Automate Draft Creation (Alternative Approach):
- Using Outlook Rules and Scripts: You might be able to set up an Outlook rule or a script that automatically moves or saves incoming scanned emails to drafts. This would require some customization:
Create a Rule in Outlook:
- Go to File > Manage Rules & Alerts.
- Click on New Rule and start from a blank rule.
- Set the condition to recognize emails from your scanner's email address.
- Set the action to move those emails to the Drafts folder.
Use VBA Script in Outlook (Advanced):
- You can write a VBA script in Outlook that triggers when an email arrives from the scanner, creating a draft and adding the attachment to it. This approach requires familiarity with VBA scripting.
Testing and Adjustments:
- After setting up, test the scanning and email process to ensure it works as expected. If the email isn't landing in drafts, review the email setup and rules.
Please mark this post as “Accepted Solution” if the issue is resolved and if you feel this reply was helpful click “Yes”.
I hope this helps.
Take care and have a great day ahead!
