Scan to email setup flaw: "The size of the file is too large. Reduce file size or free up hard disk"
This is definitely a bug / flaw ! We need to take into account that prior to state it we should check with the destination recipient account: for e.g. if there is enough space to receive or accept attachments, etc.
While the problem is that with the exact same parameters SMTP works with the "HP SCAN" software, while It does not with the "SCAN TO EMAIL SETUP" embedded function.
I ask HP to address the issue...

Hi @3lastomer0
Welcome to the HP support community.
I understand you're experiencing an issue with your HP device, and I apologize for any inconvenience this may have caused. I'm here to help you today.
The error message you're seeing suggests that the printer might be having trouble with the file size or possibly the email settings.
Here are some steps you can take to troubleshoot this issue:
Check File Size Limits:
- Many email providers have limits on attachment sizes (usually between 20 MB and 25 MB). Check with your email provider to see if there are restrictions that might affect your scans.
Adjust Scan Settings:
- Reduce the resolution or quality settings of your scans to create smaller file sizes. This can often be done in the scan settings on the printer or in the HP Smart app.
Check Storage Space:
- If your printer has a built-in hard drive or storage, ensure that there is enough space available. You may need to delete some old scans or files.
Update Printer Firmware:
- Ensure your printer’s firmware is up to date. Firmware updates can resolve bugs and improve functionality. click here
Review Email Settings:
- Double-check the SMTP settings in your printer’s email setup. Ensure that they match the settings required by your email provider.
Test with Different Email Accounts:
- Try sending scans to different email accounts to see if the issue persists. This can help determine if the problem is related to a specific email provider.
Use the HP Smart App:
- If you're having persistent issues with the "Scan to Email" function, consider using the HP Smart app on your computer or mobile device to scan and send files via email. It might bypass the limitations you're encountering with the printer's built-in function.
I hope this helps! Keep me posted.

Thank you.
I think I did it all thoroughly. Computer has several gigs of space also. There isn't a way to manage internal printer memory... Changing the Scan Option parameters from Unlimited to 20, to 10 or 2, and setting DPI to low, and file to small, doesn't make any difference.
I wonder if the flaw could come from creating an "abnormal sample file" by the Embedded function SCAN TO EMAIL, while doing SETUP... I mean you aren't actually doing a real scan, it is done by the system to test setup.
As previously said, using HP SCAN software with same exact parameters (SMTP...) gives no error. The error occurs only by using the Embedded Printer function.

Hi @3lastomer0
Welcome to the HP support community.
I understand you're experiencing an issue with your HP device, and I apologize for any inconvenience this may have caused. I'm here to help you today.
here are a few more advanced steps you can consider:
1. Reset Network Settings:
- Reset the network settings on the printer. This can often resolve connectivity issues that might not be apparent.
- Look for an option in the printer's menu for "Restore Network Defaults."
2. Use a Different Email Client:
- If you have access to a different email client (like Thunderbird or Outlook), try setting up your email through that client instead of the embedded function to see if that makes a difference.
3. Check Email Account Settings:
- Ensure your email account settings (like IMAP/SMTP settings) are correct. Sometimes even a small detail can affect the connection.
4. Test with a Simple Document:
- Try scanning a very simple document (like a blank page) to see if the complexity of the original document might be causing issues.
5. Check for Scheduled Tasks or Restrictions:
- Ensure that there are no scheduled tasks or restrictions on your email account that could be affecting the ability to send attachments.
6. Print Email Settings Page:
- If available, print the email settings page from the printer. This can help verify that all settings are correct.
7. Monitor for Error Codes:
- Keep an eye out for any specific error codes that appear when the scan fails. Sometimes the printer will provide additional diagnostic information that can lead to a solution.
8. Use HP Smart App:
- If you haven’t yet, try using the HP Smart app on your computer or mobile device to see if it provides more success with scanning and emailing.
9. Inspect SMTP Server Response:
- If you have access to logs or can monitor the SMTP server response, it may provide clues on why the scans are failing to send.
10. Last Resort: Factory Reset:
- If all else fails, consider doing a factory reset on the printer. This can help eliminate any corrupted settings.
I hope this helps! Keep me posted.
