HP Color LaserJet Pro MFP M283fdw

Hello!

I am having the continuous error message "Username or Password is incorrect. Ensure both user account and password are valid." I have followed the steps to set up the email accounts through the HP Smart and have collected the SMTP server and port. I am using my email and its password as the SMTP user ID and password. I am unsure what is causing the issue. Could it be that I am using a work email?

Any information/help is greatly appreciated! Thank you!

Hi @SammyV1,

Welcome to HP Support Community.

Thank you for posting your query, I will be glad to help you.

When you encounter an "Username or Password is incorrect" error while setting up email accounts through HP Smart for your HP Color LaserJet Pro MFP M283fdw, there are several factors to consider. Using a work email can indeed be one of the reasons for this issue, especially if there are additional security measures or policies in place that standard setup procedures don't cover. Here's a list of common reasons and solutions to consider:

Email Account Security Settings: Many email services, especially those used for work, have higher security settings that may prevent less secure apps (such as printers) from accessing them. For Gmail, for example, you might need to enable access for less secure apps or set up an App Password. Check your email account's security settings to see if similar adjustments are necessary.

Two-Factor Authentication (2FA): If your work email has two-factor authentication enabled, you'll likely need to generate an app-specific password to use as the SMTP password instead of your regular login password. This is common for services like Gmail, Outlook, etc.

SMTP Server Settings: Double-check the SMTP server settings provided by your email service. This includes the server address, port number, and encryption method (SSL/TLS). Sometimes, work emails might use a different SMTP server or settings than the standard ones.

Firewall or Network Restrictions: Some work environments have firewalls or network restrictions that might block the printer's access to the email server. Check with your IT department to ensure that the necessary ports are open and that the printer is allowed to communicate through the network.

Correct Email Format: Ensure that the SMTP user ID (your email address) is entered correctly. Some email systems are sensitive to formatting, so it's worth double-checking.

Update Printer Firmware: Sometimes, issues can arise from outdated printer firmware. Check if there's an update available for your HP Color LaserJet Pro MFP M283fdw and install it if so.

Password Complexity: If your password contains special characters that the printer firmware might not properly handle, consider changing your password to something that still meets security requirements but might be more universally accepted by devices like printers.

I hope this helps.

Take care and have a good day.
