macOS 12.0 Monterey

I am trying to print a Excel Document . Its printing the table/cells but not the data within the cells. I have tried saving as differant document such as  Excel and PDF without success

We're thrilled to have the opportunity to assist you and provide a solution. Looks like your printer's got a case of ‘table envy’—let’s make sure it prints the full story!

Check Print Settings:

  • Open the Excel document and go to File > Print.
  • Ensure that the Print Active Sheets or Print Entire Workbook is selected, depending on your document.

Check for Hidden Data:

  • Ensure there are no hidden rows or columns in your Excel sheet. You can unhide them by selecting the entire worksheet, right-clicking, and choosing Unhide.

Update Printer Drivers:

  • Go to System Preferences > Printers & Scanners.
  • Right-click your HP printer and select Reset printing system.
  • Re-add your printer and check for any available driver updates.

Check the Printer Connection:

  • Make sure the printer is properly connected to your Mac. You can try printing from another application (e.g., Preview or Word) to verify the issue is specific to Excel.

Try Print as Image (for PDF):

  • When printing the document as a PDF, go to File > Print and click the PDF button at the bottom of the print dialog box.
  • Select Save as PDF, and then choose Print as Image in the print settings to see if that resolves the issue.

Adjust Excel Preferences:

  • In Excel, go to Preferences > Print and ensure that Print Data is selected, not just the table format.

Hi Zoey. Apologies for taking so long to respond but this is the first chance I’ve had to try what you advised. Sadly I’ve not yet resolved the issue. Having tried what you suggested first and I’ve even uninstalled and reinstalled the drivers. Now the system is not recognising the printer at all. So trying again at the moment.  Just a thought I stated that it was excel that I was using when in fact it was Numbers. Sorry if I misled you. I also tried printing asa pdf but still no data within the cells. I’m at a loss. Any help would be greatly appreciated. Many thanks Karen 12310

Since the issue is occurring in Apple’s Numbers app rather than Excel, let’s try troubleshooting it accordingly:

Check Cell Formatting

  • Open your Numbers document.
  • Select all cells (Cmd + A).
  • Go to Format Panel (right sidebar)Cell → Ensure the text color is not set to white or transparent.
  • Also, check if the text is formatted in a font that the printer might not recognize (try changing to a standard font like Arial).

Check Print Settings in Numbers

  • Click File > Print.
  • Under Print Setup, check if you have selected Print Entire Sheet rather than just a selection.
  • Try toggling "Print Gridlines" ON and OFF to see if it affects output.

Export as PDF with Flattened Content

  • Click File > Export To > PDF.
  • Select Best Quality and Flatten Layout (if available).
  • Open the exported PDF in Preview and print from there.

Print as Image (via Preview)

  • Open the PDF in Preview.
  • Click File > Print, then go to the Advanced section.
  • Select Print as Image, then try printing again.

Reset Printing System (Mac)

If the printer is no longer recognized:

  1. Go to Apple Menu > System Preferences > Printers & Scanners.
  2. Right-click on the printer list and choose Reset Printing System.
  3. Re-add your HP printer.
  4. Check for any new driver updates from HP’s official website.

Try Printing from Another App

  • Open TextEdit, type some text, and try printing.
  • If TextEdit prints fine but Numbers does not, then it’s an issue within Numbers.
  • If nothing prints, it could be a printer or driver issue.
