Hi,

 

When scanning to email using the document feeder I get a server failure error. When I use the flatbedscanner it works fine. Have reset to factory default, but I still get same error.

1. Check Document Feeder Functionality:

  • Ensure the document feeder is clean and free of debris. Dust or paper fragments can interfere with its operation.
  • Test the feeder by scanning to a file or computer instead of email. If it works, the issue is likely with the email configuration.

 

2. Verify Email Settings:

  • Access the printer's Embedded Web Server (EWS) by entering its IP address in a web browser.
  • Navigate to Scan > Scan to Email Setup and verify the SMTP server settings, email address, and authentication details.
  • Ensure the SMTP server supports the required security protocols (e.g., TLS or SSL).

 

3. Update Printer Firmware:

  • Visit the HP Support page for your printer model and download the latest firmware updates. Firmware updates can resolve bugs and improve functionality.

 

4. Test with a Different Email Address:

  • If possible, configure a different email address for testing. Some email providers may block scan-to-email requests due to security settings.

 

5. Run HP Print and Scan Doctor:

  • Download and run the HP Print and Scan Doctor. This tool can automatically detect and fix common issues with scanning and email setup.

Hi,

 

1. feeder is working fine when i copy.

2. scan to email is working when using flatbeed scanner.

3. I have latest firmware. And have reset to factory default.

4. I have tried with different e-mail addresses. But, still its working fine when using flatbeed scanner.

5. Have run HP print and scan doctor.

 

scan to e-mail is still not working when using document feeder.

Here's what you can try next:

1. Change the Default File Type/Resolution for ADF Scans

Sometimes the file format or resolution for ADF scans is too large or incompatible for your SMTP server (especially if sending as PDF).

Access the EWS (type your printer's IP in your browser)

Go to Scan > Scan to Email > Outgoing Email Profiles

Edit the profile and check:

File Type: Change to JPG or lower-resolution PDF

Resolution: Set to 150dpi (instead of 300 or 600)

Color Mode: Try changing to Black & White instead of Color

Then try scanning a small ADF document and send via email again.

 

2. Split Multi-page Scans

If the ADF is trying to scan multiple pages and the file becomes too large, your SMTP server might block it.

Try scanning just one sheet via ADF and see if it goes through via email.

If it does, the issue is likely file size limitation imposed by the email server (Gmail has a 25MB cap, others might be less).

 

3. Check for ADF-specific Scan Profiles

Sometimes printers create separate profiles for flatbed vs ADF under the same scan-to-email button. You might need to:

Go to the printer display panel

Tap Scan > Email > Settings or Preferences

See if there's an option specific to ADF scanning that can be configured separately

 

4. Use HP Smart App or Embedded Web Server to Scan via ADF to Email

As a workaround:

Use the HP Smart App on PC or mobile

Choose Scan > Source: ADF > Destination: Email

This helps determine if the panel interface is misconfigured vs. the backend email process.
